- Challenge
- A payments company that grows through a network of independent sales agents handled recruitment by hand: coming up with content ideas, tracking which post brought each enquiry, deciding who deserved a call, and chasing webinar attendance across time zones. Nothing connected, and nobody could see the whole funnel.
- Solution
- One control room built with Next.js, powered by four AI workflow modules in n8n. The app handles the screens, the records and the approvals. The workflows draft content, qualify enquiries and prepare emails, always with a person in charge.
What I built
- Knowledge base with guardrails. Company facts are sorted into approved, needs verification and restricted. The AI may only use approved facts and can never state restricted claims.
- AI content studio. Generate ideas, then complete packs (hook, script, caption, call to action and FAQ) for each platform. Every piece moves from draft to awaiting approval, changes requested and approved, with a full history.
- Tracked campaigns. Each campaign gets its own enquiry link that carries the campaign into the candidate record, so every candidate shows which post brought them in.
- AI qualification, human decision. A new enquiry is rated strong fit, possible fit or needs review, with reasons and a suggested next step. The AI only advises. It never rejects anyone, it ignores personal and demographic details, and the owner’s proceed, on hold or not proceeding decision always wins.
- Webinars across time zones. Sessions are scheduled with a time zone, and every email shows the time in the candidate’s own zone, detected in the browser. Bulk registration, 24-hour and 1-hour reminders and attendance tracking are built in.
- Pipeline and reports. Six clear stages from interested to training registered, or opted out. Funnel counts come from the saved records, with an AI-written summary on top.
- Safe by default. A live-email switch is off until turned on, so messages are only prepared, not sent. Withdrawing permission stops all outreach, every action is logged, a passcode locks the app, and a connection check confirms each n8n module is online.
